Message Window

Creating and Loading Templates

Use the menu or toolbar buttons to create a new message or load an existing one. Make any changes you want and then use the menu options to save the modified template.

Plain text can be typed or pasted directly into the Message field. If you want to send an HTML version of the message as well, then use your favourite HTML editor to create your message and save it to a convenient place on your hard drive. Use the browse button next to the HTML Message field to browse for the HTML file you have created. The HTML file can also have replacement fields at any point throughout the file.

Sender Profiles

Sender Profiles allow you to set up one or more groups of sender settings, which include the following values :

* From Name
* From Email Address
* SMTP Server
* SMTP Port
* HELO setting

If you don't specify a Sender Profile, then you must specify a From name and email address in the From field on the Message page. The From field should have the following format :
From Name <from@email_address.com>

When sending a message that has no Sender Profile, the default Preferences are used for the mail server details.

To set up new Sender Profiles, or maintain existing ones, click on the Edit Profiles button on the Message page.

Replacement Fields

Replacement fields are special values that are set from values in the recipient list for each individual email that is sent. Replacement field values may be used in the following fields :

* To Name
* To Email Address
* Subject
* Message
* HTML Message (The actual HTML file, not the field containing the file name)

An obvious example of the use of a replacement field is the Email Address of the person to receive the email. Each email is going to a different person, so you will want to use a replacement field in the To Email Address field on the Message page.

When embedding a replacement field, you enclose the name of the field in square brackets [ ]. For example if the field to be replaces is called EMAILADDR then you would embed the replacement field in the message template as [EMAILADDR]. When each email is send, the [EMAILADDR] text is replaced with the actual value of the person's email address.

It must be noted at this point that the number and names of replacement fields is unlimited. The recipient file that you import contains the names of all the replacement fields, as well as values for each replacement field for each person.
